Virtual general meeting: top or flop?

Habegger | 30 November 2023

Be inspired, because we think it’s “top”. We’ll show you the 5 steps you need to take to organise the event and raise it to a new level in terms of technology and communication, as well as telling you which needs have priority

Status quo general meeting

With the new stock corporation law of 2023 and its amendments to the Articles of Association, the most common question is: how can a virtual general meeting be held successfully without any technical or legal faux pas?

A few weeks ago, together with our partners, we invited customers to Zurich’s Hallenstadion for a live demo of a virtual GM. They experienced at first hand how it works, how impressively an informative event can be organised. The response: enthusiasm and surprise were palpable.

We have been carrying out physical GMs for years. I would never have thought that a virtual implementation could work so smoothly from a technical point of view.

We set standards. Real added value, I am positively surprised.

Compared to physical general meetings, virtual ones are more entertaining and exciting. With our many years of expertise in live communication and Habegger experts in 40 different professional fields, we can create and stage GMs according to individual wishes. Infotainment and interaction are emphasised in order to captivate shareholders.

Wow effects using virtual production & augmented reality

Thanks to new technologies, participating in a virtual general meeting is child’s play. Parallel events can take place so that the needs of all participants are covered. The presentation of speakers such as the CEO and VPRs can be made more diverse, extraordinary and, above all, very exciting for shareholders through virtual production – in line with the company’s branding and corporate identity. Bye bye boring PowerPoint, hello virtual tour.

5 steps to successful implementation

The success of a virtual general meeting begins with the invitation and continues through to post-communication, including surveys. Live voting, ad hoc motions and the online speakers’ desk with prepared or spontaneous contributions are important elements.

Step 1
Onboarding
  • Careful preparation of the invitation, legal requirements and participant information
Step 2
Implementation
  • Selection of a suitable platform that meets the requirements
Step 3
Preparation
  • Provision of information: Provision of relevant documents online
Step 4
Registration
  • Ensuring that only authorised persons take part
Step 5
Technical support
  • Provision and guaranteeing of the technical requirements

During the event:

– Secure participation and live voting

– Guarantee of ad hoc applications and online speakers’ desk
