What does a… project coordinator … actually do?

Habegger | 1 February 2024

In short: this person is the heart of the project, because a project coordinator is the person who holds all the strings. The position involves acting as an interface between many trades, it prepares offers with the project team or is the voice that provides advice over the telephone. Vera Germann gives us an insight into her day-to-day work.

Vera has over 20 years of hospitality and event expertise. From the international hotel business in Egypt, France or Belgium to event management in a Czech agency – from the mountains of Graubünden to live communication. Vera has been working as a project coordinator at Habegger for around a year now and is delighted with the variety in her day-to-day work: 70% of her time is spent in the office coordinating projects and 30% at events implementing them.

9 to 5 with adrenaline

Born in Belgium, she deliberately opted for an exciting 9 to 5 job.

I wanted regular working hours with lots of variety, including experiencing the thrill of events.

As project coordinator, she has it all. She must always be flexible, work in an agile manner, think in a customer-orientated way but also be open and curious about change. Vera loves to be there live during her projects and carry them out as she gets an adrenaline kick onsite. “I run at full speed when I have to improvise,” she adds. In this role, you need to be outgoing and articulate, because customer contact and picking up customers are a key part of the job.

Highlights & challenges

No two days are the same, there are always situations that require a creative service mindset, which is what makes everyday working life so varied. Coordination skills are particularly in demand at major events such as sport events, as there is an immense amount of logistics involved. In addition to her hobby of diving in the world’s oceans, Vera also often jumps into the cold waters of the technology world. “Getting to know new areas of technology and immersing myself in the challenge is not only fun, but also makes my job a lot more exciting,” adds the trained hotel manager.

Project coordinator vs. project manager

The small but significant difference is that a project coordinator’s portfolio of tasks does not include direct project support. At Habegger, Vera increasingly acts as the link between the partner event locations and the internal teams.

Once the project has been completed on her side, everything runs smoothly. The event locations take over the personnel planning and the venue manager then realises the project in his location.
